BACKGROUND

Sincere Developers & Builders is a commercial general contractor in Houston, TX that performs a variety of private commercial projects including convenience stores, office buildings, commercial tenant improvements, and factory expansions.

SITUATION AT A GLANCE

Sincere initially used Paskr project management software and QuickBooks Desktop Enterprise Premier as their accounting system but the platforms were not integrated. The lack of integration forced their team to track project information in both Paskr and QuickBooks and made it difficult to keep the information accurately updated and in sync between both programs. This also impeded real-time communication of project information between the Sincere team and their clients.

We began our engagement with an in-person Procore demonstration, coupled with a needs assessment and objective evaluation. After reviewing our report and recommendations, the Sincere Executive team decided to purchase Procore with the Project Management Pro and Financial Management tools. Sincere also migrated QuickBooks to a cloud server with remote access via RightNetworks.com so it could be connected to Procore.

For the next phase, Ascent was engaged to ensure Procore was properly configured for Sincere’s operating model, and properly connected to QuickBooks, and their internal users were trained on best practices and procedures to use these new tools.

Ascent began the project by reviewing the setup and configuration of both Procore and QuickBooks. We lead Sincere through the process of redesigning their cost coding system to align both systems so they could communicate correctly, and then supplemented the implementation services provided by Procore to ensure that everything worked as planned.

Ascent then led Sincere through a structured process to streamline and standardize their internal processes and systems, focusing specifically on processes that were being migrated to Procore. A series of ‘process mapping workshops’ were conducted to highlight and define Sincere’s project management and financial tracking processes, which would improve the accuracy of real-time project information for internal and external project team members.

Once Procore was connected to their accounting system and configured, a test project was used to replicate one of Sincere’s existing projects for ‘live testing’ between the two software systems.

We then provided group and individual training sessions covering all aspects of Procore’s Administration, Core Tools, ERP Integration, Project Management, Project Financials, and Invoicing modules.

Upon completion of training, Ascent provided standby support to Sincere as they added more projects and began using Procore every day.

CONCLUSION

At the end of this project, Sincere had fully implemented Procore and connected it to their accounting system for real-time data visibility. Their team was fully trained to use Procore as their daily project management tool, and all new projects are now managed through Procore.
