Getting Procore—and DAI—set up the right way
DAI has been a Procore user for several years. However, accounting had no visibility into project-level financial commitments and only recognized costs when invoices were received throughout the month. After much investigation, they decided to add the Financial Tools to their subscription and engage Ascent to correctly configure Procore and train their team.









A refined approach to project management
After only 60 days, Ascent had led discovery sessions into DAI's accounting and financials, configured Procore Financials, and led training sessions for all staff. In the end, all active projects were connected between Procore and Accounting, and DAI went live with Procore Financials.

A Thorough and Efficient Implementation
Ascent began the project by reviewing the setup and configuration of both systems to ensure that Projects and Cost Codes were mapped correctly. This ensures that data from both systems is pushed and pulled to the correct locations. Next, we reviewed their current processes and methods for capturing and recording project financial data with the goal of migrating and replicating as much as possible in Procore. For example, Excel budget spreadsheets were mapped into the Procore Budget Upload Template to simplify this process, and Budget Views were customized in Procore to replicate their existing reports.
To understand the current processes that make up the full Project Lifecycle, a series of ‘process mapping workshops’ were conducted. These workshops are designed to understand how each client currently performs the key functions involved in construction projects, and map them into Procore’s operating model. This helped DAI understand how Procore’s financial tools would replace their current manual processes, eliminate the need for multiple spreadsheets and document templates, and simplify tracking and reporting while providing the Accounting department with real-time financial data in the accounting system.
Starting with the Accounting and Project Coordinator staff, Ascent then led DAI through basic training on the Procore Financials tools. Time was taken to review the setup and configuration of each tool, and how different settings changed the way Procore behaved. This allowed Ascent and DAI to configure the system to match the way they operate as closely as possible.
Once the setup phase was complete and the system was configured properly, the Project Management staff was ready to learn the system. Through a series of onsite and virtual workshops and practice sessions, the PMs were trained on proper use of all of Procore’s financial tools. Test projects were used to replicate real projects, and a pilot project was selected for ‘live testing’ between the two software systems.
Once everything had been tested successfully, all active projects were connected between Procore and Accounting, and DAI ‘went live’ on Procore Financials. Upon completion of the project, DAI was provided with Procore reference materials and copies of all the Procore Process Maps that were developed in the workshops.
Fast Tracking Success
This project was completed in 60 days. After going live in Procore Financials, Ascent stayed engaged with DAI for an additional month for background support and check-ins to ensure that a full billing cycle was completed successfully. They no longer use spreadsheets to track project financials on new projects, and all future projects will be managed in Procore. They had also started enrolling their subcontractors in the online portal for submitting progress billings to further simplify their AP process.
